CCS Application Steps for Childcare Families

For many families, the CCS application steps are one of the practical jobs to sort out before childcare begins. Centrelink Child Care Subsidy can make a meaningful difference to out-of-pocket childcare fees, but the process can feel unfamiliar when you are also organising enrolment, work schedules and your child’s new routine. A little preparation can make it much easier.

What Child Care Subsidy helps with

Child Care Subsidy, often called CCS, is Australian Government assistance that reduces the amount eligible families pay for approved childcare. The subsidy is generally paid directly to the approved provider, with families paying the remaining gap fee.

The amount of CCS a family receives is not the same for everyone. It can depend on factors such as your family’s income, the type of care you use, the hours of recognised activity you and your partner undertake, and the details of your child’s care arrangement. Your circumstances can change over time, so it is helpful to keep your information current with Services Australia.

CCS is available for approved care services, which may include Long Day Care and Outside School Hours Care such as before-school, after-school and holiday care. Eligibility is assessed by Services Australia, so it is best to check your individual circumstances through your myGov account or directly with Centrelink.

Before you begin the CCS application steps

Starting with the right information nearby can save time. You will generally need a myGov account linked to Centrelink. If you are new to Centrelink, you may first need to establish your identity and receive a Customer Reference Number, also known as a CRN.

Have your personal and family details ready, including information about your child and your household income. If you have a partner, their details may also be required as part of the claim. Families should answer each question based on their current circumstances and update their details if work, study, care arrangements or household circumstances change.

It is also useful to know the name of the childcare service your child will attend and the expected start date. You do not need to wait until every detail of your weekly routine is perfect before asking for assistance. A centre can explain its enrolment process and help you understand what information is needed to connect the enrolment to your CCS claim.

How to complete your CCS application

1. Set up myGov and link Centrelink

Sign in to myGov and make sure Centrelink is linked. If it is not, follow the prompts to link the service. This may involve confirming identity details. If you run into difficulties at this point, Centrelink can help with account access and identity requirements.

Once Centrelink is available in myGov, look for the option to make a claim for Child Care Subsidy. Read each screen carefully and complete the requested information as accurately as you can.

2. Submit your Child Care Subsidy claim

The claim asks Services Australia to assess whether you are eligible for CCS and the rate that may apply to your family. You may be asked about income, work, study, training or other recognised activities, as well as your child’s details and care needs.

Take your time with this stage. A rushed answer can lead to follow-up questions later. If a question is unclear, seek clarification through Services Australia rather than guessing. Their current guidance is the best source for decisions about your claim.

After submitting, check your myGov inbox and Centrelink account for requests for more information. Responding promptly can help avoid delays. Keep in mind that assessment time can vary, particularly during busy periods, so it is sensible to begin the claim before your planned care start date where possible.

3. Complete your childcare enrolment

Your CCS claim and your child’s enrolment are connected, but they are separate tasks. You will still need to complete the enrolment process with your chosen childcare provider. This provides the service with the information needed to offer care and create the relevant enrolment record.

For families joining a service for the first time, the enrolment discussion is a good time to confirm the days and sessions you expect to need. Working parents may need a regular pattern of care, while holiday care bookings can be more flexible around school holidays. Either way, tell the centre early if your plans change so your booking can be reviewed.

4. Confirm the enrolment in myGov

After the provider creates your child’s enrolment, you may receive a notice in myGov asking you to confirm the details. Check that the child, service and expected care arrangement are correct before confirming.

This is a step families can easily miss because the claim may already have been submitted. Checking your myGov inbox regularly before care begins helps make sure there is no outstanding action. If the enrolment details do not look right, contact the childcare service so the information can be checked.

5. Check your first statement and keep details updated

Once CCS is applying, review your childcare statements so you understand the fees, subsidy contribution and gap amount. The subsidy does not necessarily cover the full cost of care, and the amount may differ between families and care arrangements.

Let both Centrelink and your childcare service know when relevant details change. For example, a change in contact details, family income, work or study arrangements, or booked days of care may affect what you need to do next. Keeping records current is one of the simplest ways to reduce surprises in your fees.

Common questions from families

Do I need CCS approved before my child starts care?

It is best to apply as early as possible, but your childcare service can explain its own booking and payment arrangements while your claim is being assessed. Do not assume a subsidy will apply until Services Australia has assessed your claim and the enrolment has been correctly confirmed.

Can a childcare centre apply for CCS on my behalf?

A childcare centre cannot make a Centrelink claim for you or determine your eligibility. However, the team can provide the service and enrolment information you need, explain the next practical step, and help you check whether there is an enrolment confirmation waiting in myGov.

Why is my gap fee different from what I expected?

Your out-of-pocket fee can vary for several reasons, including your assessed CCS percentage, the sessions booked, your family circumstances and the care details recorded for the period. Start by checking your statement and myGov messages. If it appears to be a booking or enrolment issue, speak with the centre. If it relates to your CCS assessment, Services Australia is the right place to ask.

What if I use more than one type of care?

Many local families use a mix of care across the year, such as Long Day Care for a preschool child and Holiday Care or after-school care for an older child. Each child and each enrolment arrangement needs to be recorded correctly. Let the service know about all care bookings so you can confirm the relevant details in myGov.
