How to Apply for CCS: A Parent’s Simple Guide

Childcare should make the working week more manageable, not add another confusing task to your list. If you are wondering how to apply for CCS, the process is usually straightforward once you know which steps belong to Centrelink and which steps are completed with your childcare provider.

The Child Care Subsidy, commonly called CCS, is Australian Government assistance that can reduce the amount eligible families pay for approved childcare. It may apply to long day care, before and after school care, and holiday care. Your final out-of-pocket cost depends on your family circumstances, the type and amount of care used, and the subsidy details recorded for your family.

Start your CCS application through myGov

The first part of the process is completed through your myGov account. You will need to link Centrelink to myGov if you have not done so already. From there, look for the option to make a claim for Child Care Subsidy and follow the prompts.

The claim asks for information that helps Centrelink assess your family’s eligibility and subsidy rate. This can include your household income estimate, your child’s details, your relationship status and residency information. Take your time with these questions. A careful application now can save follow-up work later.

If you are applying as a couple, both parents or guardians may need to complete steps in their own myGov accounts. Centrelink will let you know if another person needs to confirm details. It is worth checking your myGov inbox and Centrelink notifications while the claim is being processed, as requests for more information can sometimes appear there.

Your income estimate matters because CCS is income tested. It is an estimate, not a prediction you need to get perfectly right, but it should reflect what your family reasonably expects to earn for the financial year. If your circumstances change, such as a change in work hours or household income, update your details through Centrelink so your records remain current.

Check the key details before you submit

Before submitting your claim, make sure the names, dates of birth and other personal details match the information held by Centrelink. Small differences can slow things down, particularly when you are also arranging a new enrolment.

Your child will generally need to meet the relevant immunisation requirements for CCS, unless an accepted exemption applies. Centrelink uses the information available through government records, so it is helpful to make sure those details are up to date before care begins.

You also need to be responsible for paying childcare fees and meet the general eligibility requirements for CCS. Families have different arrangements, so if something in the claim does not reflect your situation, use the Centrelink instructions or contact them directly for guidance rather than guessing.

Enrol your child with an approved childcare service

Submitting a CCS claim is only one part of the process. You also need to enrol your child with the approved service they will attend. The service then submits an enrolment notice through the childcare system, linking your child’s care arrangements with your CCS details.

When you enrol, provide your Customer Reference Number and your child’s Customer Reference Number if requested. These details help the service match the enrolment to the correct family record. It is also important to tell the service the care you need, whether that is regular long day care, before or after school care, or holiday care during school holidays.

At St Paul’s Childcare Centre Kogarah, we understand that first-time CCS applications can feel like one more thing to organise alongside work, school runs and family routines. Our team can help explain the enrolment steps and let you know what information is needed from your side. Centrelink makes the CCS decision, but your childcare provider can support you with the service enrolment process.

Confirm your child’s enrolment in myGov

After the provider submits the enrolment notice, you may be asked to review and confirm the arrangement in your myGov account. This is a step families sometimes miss, especially when they have completed their original CCS claim weeks earlier.

Check the service name, the child’s details and the proposed care arrangement carefully. If something does not look right, speak with the service promptly so it can be corrected. Once the enrolment is confirmed and your claim has been assessed, the subsidy can be applied to eligible sessions of care.

CCS is generally paid directly to the approved provider. Rather than receiving the full subsidy amount into your bank account, you receive a reduced childcare invoice and pay the remaining gap fee. The amount can vary from family to family and may change if your circumstances, income estimate or pattern of care changes.

Allow time before your child’s first day

It is best to begin the process before your child’s first booked session, particularly before a new term or school holidays when families are arranging holiday care. Processing times can vary, and Centrelink may need further information before finalising a claim.

If care starts while your claim is still being processed, keep an eye on your account and your childcare statements. Ask your provider how fees will be managed while the enrolment and CCS details are being finalised. This helps you plan for the upfront cost and avoids surprises when adjustments are made later.

For families changing services, moving house or returning to care after a break, it is still worth checking your details. A new service will need to submit its own enrolment notice, and you may need to confirm that arrangement in myGov even if you have received CCS before.

What to do if your CCS application is delayed

A delay does not always mean there is a problem. It can simply mean Centrelink needs more information, a parent or guardian needs to complete their part of the claim, or an enrolment has not yet been confirmed.

Start by checking your myGov inbox and any tasks in Centrelink. Make sure your family income estimate and child details are current, then check with your childcare provider that the enrolment notice has been submitted using the correct Customer Reference Numbers. If you need help understanding the status of your claim, Centrelink is the right place to ask about eligibility or payment decisions.

Your provider can help with the care side of the arrangement, including booked days, attendance records and enrolment information. Keeping these conversations separate makes it easier to identify what still needs to be done.

How to apply for CCS without the last-minute rush

The simplest approach is to treat CCS and childcare enrolment as two connected jobs. First, start or update your CCS claim in myGov. Next, enrol your child with your chosen approved service and provide the requested Centrelink details. Then, return to myGov to confirm the enrolment notice when it appears.

Keep copies of any reference numbers and check your notifications until everything is finalised. If your care needs change, whether you add an afternoon of after-school care or book holiday care, let the service know early so your bookings and family arrangements stay clear.

A little preparation can make childcare feel far more manageable. With your CCS claim underway and your child’s enrolment confirmed, you can focus on settling into a safe, nurturing routine that works for your family.
